Accounting Administrative Assistant

Tacada is looking for an enthusiastic, driven individual to join our team. Under the direction of the Corporate Controller, the Accounting Administrative Assistant will be responsible to provide administrative support to the accounting team in a timely and accurate manner.

Responsibilities
  • Alphabetize and numerically sort printed invoices received via mail or email
  • Coding of utility invoices
  • Enter all approved invoices with appropriate supporting documents (ex. Purchase orders) into Newstar for payment as per cheque payment cycle guidelines and ensure cheques are prepared for distribution prior to required payment dates
  • Preparation of framer payments as per cheque payment cycle guidelines for framer invoices
  • Preparation of all utility payments as per cheque payment cycle guidelines for utility invoices including review to ensure no utility payments are made on possessed houses
  • Preparation of all other quick pay invoices as per cheque payment cycle guidelines for quick pays
  • Preparation of documentation of rejected invoices for delivery back to vendors
  • Delivery of cheques to other divisions for review and signing
  • Maintenance of the return of cheque support back from divisions for filing
  • Review invoices for potential concerns to be brought to the attention of the accounting manager
  • Organize and manage accounting documents
  • Maintain and update filing system for the accounting managers and the department
  • Retrieve information from files when needed
  • Participate as needed in special department projects
  • Provide accounting and clerical support to the accounting department
  • Data entries
  • Other duties and responsibilities assigned
Requirements
  • Knowledge of QuickBooks is an asset
  • Strong written and oral communication skills
  • Strong knowledge in Microsoft Office, namely Excel
  • Strong time management, organization, and planning skills
  • Ability to work under pressure to meet stringent deadlines
  • Strong attention to detail

Education

  • Bachelor’s degree in accounting, or equivalent is an asset
